Refund and Cancellation Policy

B M W Education (PVT) Ltd, trading as VXL Education Sri Lanka, is committed to delivering transparent and fair practices in all our services. This Refund and Cancellation Policy outlines your rights and our obligations regarding cancellations and refund requests for visa handling and consulting services.

1. Withdrawal of Services by the Client
Clients may cancel their engagement with our services at any time by notifying us in writing. The following refund rules apply:
• Full Refund Minus Admin Fee:
If a client chooses to withdraw before the Document Gathering & Application Preparation Consultation, they will receive a refund of all fees paid, less an administrative fee of LKR 10,000.
• No Refund After Preparation Stage:
Once the Document Gathering & Application Preparation Consultation has been completed—during which detailed checklists and sample documents are shared—no refunds will be issued, unless a judgment error is clearly identified by our team.

2. Visa Application Refusal
We are not obligated to offer any refund if the visa application is refused due to factors beyond our control, including but not limited to:
• Changes in immigration law or policy
• Failure by the client to provide truthful or complete information
• Delays or rejections by government departments
• Non-compliance with requests for further documentation
• Any refusal on grounds that are not the direct result of our error

3. Refund Due to Agent Error
In the rare event that the refusal of your visa is the direct result of a proven professional or judgment error on our part, we may offer a full refund of the service fee. This determination is at the sole discretion of VXL Education Sri Lanka after a thorough internal review.

4. Refund Request Process
All refund requests must be made in writing and addressed to:

Subject Line: Refund Request – [Your Full Name]
Once your written request is received, we will process the refund (if applicable) within 14 business days.

5. Termination by the Agent
VXL Education Sri Lanka reserves the right to terminate any agreement with reasonable written notice to the client. In such cases:
• The client will only be liable for payment for the work already completed.
• No further charges will be incurred beyond the agreed and completed work.

6. Non-Refundable Components
The following items are non-refundable under all circumstances:
• Government/Departmental fees (e.g., Department of Home Affairs Visa Fees)
• Medical, police check, and biometric fees paid to third-party service providers
• Credit card merchant fees
• Any other third-party disbursements
• Administrative charges already incurred

7. Mode of Refund
Approved refunds will be processed to the original payment method (bank transfer or credit card) unless otherwise requested in writing by the client. The client must bear any bank charges associated with refund processing.

8. General Notes
• Clients are advised not to make travel arrangements or finalize personal or professional plans until a written visa approval has been granted.
• Refund eligibility is always subject to compliance with the full Terms and Conditions signed at the time of engagement.
